October Meeting Minutes

TWO RIVERS DOG MUSHERS ASSOCIATION
October 2, 2007 MINUTES OF THE MEETING

Scott Chesney, President, called the meeting to order at 7:40PM;
11 members present.

MINUTES REVIEW: The minutes of the September meeting will be reviewed at a later time.

FINANCIAL REPORT: Becky Cummings, Treasurer presented the financial report.

OLD BUSINESS:

  • Symposium: The ADMA Symposium is scheduled for October 19-21st, 2007 this year. We are still looking for volunteers to help fill the slots. Anyone interested in helping out, see Tammi Rego for more info. We will have t-shirts for sale, as well as push membership enrollments.
  • Club Tent: Members discussed options for selling the Arctic Tent. Ideas ranged from a raffle to an outright sale at the ADMA Symposium this year. Discussion followed on the best course of action. It was decided to sell the tent at a set price. Members agreed to sell the tent for $950.

STANDING COMMITTEES REPORT:

  • Sponsorship: Val Mackler reported no new sponsors at this time. Sponsor cards will be sent to current and potential sponsors. Val will follow up with Sportsmans Warehouse on this season’s sponsorship possibilities.
  • Race/Rules: The Tune-up needs a race manager at this time. The rest of the rules for the races are in place and the race schedule is set. The 100 mile class for the Chatanika Challenge has been eliminated.
  • Trail: Scott Chesney reported that the club snow machine is back from the shop.
  • Public Relations: No report.

August Meeting Minutes

August 7, 2007

MINUTES OF THE MEETING
Scott Chesney, President, called the meeting to order at 7:45PM
11 members present

MINUTES REVIEW:  The minutes of the July meeting were reviewed. MOTION to accept July minutes as presented, was made by Becky Cummings, seconded by Peggy Wandell.  No objections.

FINANCIAL REPORT: Becky Cummings gave a financial report. Triathlon gains were discussed. Question was asked as to how monies are handled. The club gets a membership fee per entrant. Members felt that any events that TRDMA endorses should do their own banking; but, provide copies of entry forms to TRDMA for record keeping and insurance purposes.

STANDING COMMITTEES REPORT:

  • Sponsorship: Val Mackler reported that no new sponsor packets would be created. All of the packets ranered only a few responses. Instead, a sponsor letter, along with a new sponsor form will be sent this year. No replies have been received yet. She will wait until we are closer to the racing season, then mail a nice card to sponsors to gain sponsorship. Mountain Ridge become a new sponsor, providing booties as prizes to the club. Also gained 2 other new sponsors: Petroleum sales and a Bakery.
  • Race/Rules: Peggy Wandell reported on the Race committee, which has been communicating via email consists of Becky Alexander, Chair; Peggy Wandell and Bill Greenslade. Anyone else interested, please let Becky know via email: akalex1@att.net. Proposed race schedule is:

Mystery race/trail check    February 23rd (not an official event)

It was suggested to drop the 100 portion of the Chatanika race & concentrate on just the 200 and downsize the limit of mushers from 40 to 30 to truly accommodate the field of mushers. They will work on raised the purse on the 200, perhaps with a 50/50 split of all cash sponsorship between the race purse and general club fund. Judy Currier has volunteered to assist the board with the 200. The Hamburger run needs to revert back to a fun run, not a passenger race. And we still need race managers for the Tune-up & Funale. We will vote on the race schedule at the next meeting.

  • Trail: No report.
  • Public Relations: No report.

OLD BUSINESS: Wes Rau Clinic UpdateScott Chesney
Received the syllabus and fliers. This is a great deal, only covers expenses fo the clinic. Wes usually only does 1 day clinics.
Reservations are confirmed at Mushers Hall & plane tickets for Wes have been purchased.

Two Rivers Triathlon
Event went well, lots of fun was had and there was a great article in the News-miner.

June 5, 2007 MINUTES OF THE MEETING

Scott Chesney, President, called the meeting to order at 7:42PM 10 members present

MINUTES REVIEW: The minutes of the May meeting were reviewed.

MOTION to accept May minutes as presented, was made by Janet Smith, seconded by Judy Currier. Discussion of minutes ensued concerning listing monetary values in publicized documents (i.e. Websites, meeting minutes, etc.).

MOTION to amend the May minutes by changing “cost of $25 each month for monthly meetings” to read “a monthly fee for utilities compensation” made by Becky Alexander, seconded by Tammi Rego. No objections.

FINANCIAL REPORT: Becky Cummings, Treasurer presented the financial report.

OLD BUSINESS:

  1. Wes Rau Clinic Update – Scott Chesney
    Changed to a 2 day basic clinic and a 2 day advanced clinic. Number of participants limited to 20 maximum and 15 minimum. The cost is $250 for each 2 day class. This covers the cost to rent the Musher’s Hall and Wes Rau’s fee. Dates are August 31-September 3, 2007. The club hopes to sell DVD’s of these sessions as future fund raiser. Registration and payment will be set up online.
  2. Yukon Quest Checkpoint –Scott Chesney; Tammi Rego
    Scott Chesney sent a letter to the Yukon Quest regarding TRDMA decision not to host the 2008 checkpoint at Chena Hotsprings, if it is held at that location. Scott discussed possibility of holding checkpoint at Twin Bears Campground, and reported that the Boy scouts could handle food, as done in Pelly Crossing. Will wait to hear back from the Quest board later this fall.

STANDING COMMITTEES REPORT:

  • Sponsorship: Val Mackler reported no new sponsors at this time. Sponsor list was updated for the newsletter.
  • Race/Rules: Becky Alexander reported that the first meeting for the Race Committee will be held at the end of June. There will be a Race Manager for each race, who will have operating procedures with guidelines to follow for each race. Discussion ensued regarding races and volunteer recognition. Janet Smith suggested logging hours for volunteers to give out year end prizes. Becky Alexander is currently looking for volunteers for the Race Committee and for Race Managers. Judy Currier suggested listing committee members on website.
  • Trail: No report.
  • Junior: No report.
  • Public Relations: No report.

NEW BUSINESS:
Bylaws Review: Scott Chesney presented the club Bylaws. Changes that were made include: Move the review to June. Adopt the code of ethics on a voluntary basis. Remove “Brush Cutter” from wording. Remove reference of the Junior committee from the list of standing committees. Add “new member/new musher” and ethics as new standing committees and define their jobs.

MOTION to accept Bylaws as revised made by Val Mackler, seconded by Becky Cummings. No objections.

Second review of Bylaws will be conducted that the July meeting.
